Introduction: Welcome to Pivo AI! We’re about to take the “work” out of “workflow.” Below is everything you need to know to go from “Signing Up” to “World Domination” (or at least, dominating local search results).
Step 1: Log in with Google and Connect Your Business Profile
Pivo AI uses your Google account for login because, let’s be honest, nobody needs another password to remember. Click “Continue with Google” and choose the account that manages your Google Business Profile.
Once you’re in, grant Pivo AI permission to access your Google Business information. Don’t worry, we aren’t reading your emails; we just need the keys to the car so we can drive your profile to the top of search results. If you have multiple locations, pick the one you want to set up first.
Step 2: Start Your Trial and Launch the Wizard
After connecting, you’ll be prompted to start your trial. Enter your payment details (securely, of course) and hit subscribe. Once that’s done, the “Onboarding Wizard” launches. Sadly, he does not wear a pointy hat, but he is magical at setting up your account.
Step 3: Pivo AI Reads Your Website (So You Don’t Have To)
As soon as the wizard starts, Pivo AI goes into detective mode. It scans your website and Google Business Profile to learn what you sell, what your brand sounds like, and why you’re awesome. This happens automatically, so feel free to take a sip of coffee while we do the heavy lifting. We use this data to make sure our suggestions actually sound like you, not a robot.
Step 4: Confirm Your Business Info
Next, we’ll show you what we found. This usually includes your logo and profile details.

The Logo: If you have one on Google, we grabbed it. If not, or if you want to update it, upload a crisp new one here.

The Description: Pivo AI might suggest a “glow-up” for your business description to squeeze in more SEO goodness. You can accept our improved version, tweak it, or stick with what you had.

The Details: We’ll also check attributes like “Wheelchair Accessible” or “Wi-Fi.” Check the boxes that apply so customers know exactly what to expect.
Step 5: Choose Target Keywords (The Breadcrumbs of SEO)
This is a big one. You need to tell Pivo AI which keywords you want to win. Based on your site, we’ll suggest phrases people actually search for, like “AC Repair near me” or “Best Tacos in Town.” Select up to 10 keywords. If we missed a niche one you love, you can add it manually. These keywords are the North Star for all the content we’re about to generate for you.
In less than 5 minutes, our AI-powered tool gives you a comprehensive optimization score, highlights key issues, and provides actionable recommendations to fix them.

Step 6: Define Your Turf
Where are your customers? If you’re a pizza shop, you probably don’t care about ranking in a city three hours away. Tell Pivo AI your target cities or set a radius around your business.

Pro Tip: Be realistic. A 10-mile radius is usually the sweet spot for local businesses. Don’t try to conquer the whole state unless you own a spaceship (or a very fast delivery truck).
Step 7: Clean Up Your Services
Pivo AI will pull up your service list. It’s time for a little spring cleaning. Remove services you no longer offer (RIP “Fax Machine Repair”) and add any missing ones. If your services lack descriptions, Pivo AI will write professional, keyword-rich summaries for them. Review them, give them a thumbs up, and hit save. We’ll automatically push these updates to Google for you.
Step 8: Handle Your Reputation (The Good, The Bad, and The Ugly)

The Bad: Pivo AI flags negative reviews (3 stars or less) and can even help you dispute them if they violate Google’s policies.

The Unanswered: We’ll show you recent reviews you haven’t replied to yet. Pivo AI drafts polite, personalized responses for you. You can approve them, edit them, or skip them.

The Strategy: We don’t spam Google all at once. Pivo AI drips these replies out (about 5 a day) so it looks natural.
Step 9: Tackle the AI Questions Section
Google removed the Q&A feature, so now Google’s AI answers customer questions automatically. Instead, we’ll help you set up our new Website & AI SEO tools that help your business rank higher in Google and AI search engines like ChatGPT. You’ll find these tools under Automations → Website & AI SEO in your dashboard.
The old Q&A automation has been replaced with these more powerful SEO tools that help search engines better understand your business.
Step 10: Meet Your New Virtual Assistant (Automation)
This is the fun part. You get to decide how much Pivo AI does on autopilot. We can handle posts, image uploads, review replies, and more. If you have “decision fatigue,” just look for the “Trust Pivo AI” option. It’s our recommended default setting. It’s basically the “Easy Button” for SEO.
Step 11: Feed the Beast (Images)
Google loves fresh photos. Pivo AI gives you a magic “Upload Link.” Text this link to yourself or your staff. When you’re on a job site or in the store, snap a pic via the link, and Pivo AI will upload it, geotag it, and write an SEO-friendly caption automatically. You can also drag-and-drop photos from your computer or connect your CompanyCam account if you use that.
Step 12: Set Your Posting Schedule
How often should Pivo AI post?

Frequency: We recommend a few times a week or daily.

Style: You can tell Pivo AI to overlay your logo on images or keep them clean.

Training: There’s a “Train Pivo AI” box where you can give specific orders like, “Always end posts with ‘Call us for a free quote!'” Think of it as training a puppy, but with less chewing on your furniture.
Step 13: To Approve or Not to Approve?
You have two choices for content (posts, videos, replies):

Auto-Approve: Pivo AI generates it and posts it. You sleep soundly while we work.

Require Approval: You get an email 3 days before something goes live. You can review it, tweak it, or give it the green light. Most users start with Approval to build trust, then switch to Auto once they realize Pivo AI is pretty smart.
Step 14: Connect Social Media
Why stop at Google? Connect your Facebook and Instagram business pages. Pivo AI can cross-post your content there, keeping your social feeds alive without you lifting a finger.
Step 15: Turn Praise into Posts
Enable the “5-Star Review Posts” feature. When you get a glowing review, Pivo AI can turn it into a beautiful social media post. It’s a humble brag, automated.
Step 16: The “Go” Button
Click “Finish” or “Generate.” Pivo AI will immediately start cooking up your first batch of content.
Step 17: Review Your First Drafts
Head to your Dashboard. You’ll see your first few AI-generated posts.

Read them: They usually sound great.

Edit them: Want to change a word? Go for it.

Swap images: Don’t like the stock photo? Swap it for one of your own or ask the AI for a new one. This is your chance to see exactly what your customers will see.
Step 18: Seeding the Q&A
Pivo AI will generate FAQs for your website instead of Google Q&A. You’ll get 8 initial FAQs that help Google and AI search engines understand your business better. These appear under Automations → Website & AI SEO in your dashboard.
The old Q&A feature is gone, but these website FAQs are actually more powerful – they help you rank higher in both Google and AI platforms like ChatGPT.
Step 19: The Hollywood Moment (Video)
Pivo AI creates a promotional video for you. Yes, a video.

Connect YouTube: If you have a channel, link it.

CTA: Choose what you want the voiceover to say at the end (e.g., “Visit our website”).

Generate: Wait about 60 seconds… and voila!
Step 20: Director’s Cut
Watch your new video. You can swap out images, edit the script, or change the voiceover. Once you’re happy, approve it, and it goes live on your Google Profile and YouTube. No film crew required.
Step 21: Ongoing Management
Going forward, keep an eye on your email. If you set things to “Require Approval,” we’ll send you drafts. You can approve them right from your phone without logging in. If you set things to “Auto,” just sit back and enjoy the results.
Step 22: Get More Reviews (The Easy Way)
Head to the Reviews tab and grab your “Review Request Link.” Send this to your happy customers. It guides them to leave a 5-star review effortlessly.

Pro Tip: You can customize the link to track which employee got the review (e.g.,
?rep=John). A little friendly competition among staff never hurt anyone!
Step 23: Show Off on Your Website
Use our “Widgets” to display your latest 5-star reviews or recent posts directly on your website. We provide the code; you (or your web guy) paste it in. It keeps your site looking fresh and trustworthy.
Step 24: Managing Multiple Locations
If you own more than one business, click the “Businesses” tab to add another location. You’ll go through a similar wizard for that location because every business is unique.
Step 25: Check the Scoreboard
After a few weeks, check the Reports tab.

Step 26: Citation Management (Available with Pivo AI upgrade)
Pivo AI scans the web for directories (like Yelp, Bing, YellowPages). If your info is wrong, we fix it. If you aren’t listed, we add you. Consistency is key for Google, and we make sure you look consistent everywhere.
Step 27: Invite Your Team
Don’t want to do this alone? Go to Settings > Users and invite your staff. You can invite a manager to handle approvals or a business partner to view the reports. You control what they can see and do. It’s great for delegating tasks without handing over the keys to the whole kingdom.
